This Privacy Policy explains how Octo Property ("we", "us") handles information in connection with the Octo Email Service ("the Service"), the email integration used by the Octo Property outreach platform. It covers data accessed from connected email mailboxes, including via Google APIs.
When a user connects a mailbox, and only with that user's explicit OAuth consent, the Service accesses:
Accessed email data is used exclusively to operate the outreach feature the user has enabled: sending messages the user directs, and reading incoming messages to match and classify replies so the outreach agent can follow up. We do not use this data for any other purpose.
Our use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
We do not sell mailbox data, do not use it for advertising, and do not allow humans to read it except where necessary for security, to comply with law, or where the user has given explicit consent to resolve a specific support issue.
Access tokens and the minimum message data needed to operate the feature (e.g. sender, subject, thread identifiers, and message content used to display and classify replies) are stored securely and encrypted at rest. Data is retained only as long as the account remains connected and the outreach feature is in use, and is deleted on request or when the user disconnects the mailbox.
We do not share accessed email data with third parties, except sub-processors strictly necessary to provide the Service (e.g. cloud hosting) under equivalent confidentiality and data-protection obligations.
Users can disconnect a mailbox at any time, and can revoke the Service's access directly from their provider (for Google, at myaccount.google.com/permissions). Revoking access stops all further processing.
